Job Title: Accounts Payable Manager
Contract to Hire
Location: Downtown Nashville
Schedule: Onsite M-F 8-5pm with Flexibility to WFH
Salary: $120-125K
As our Accounts Payable (AP) Manager you will be responsible for overseeing the daily operations of the accounts payable department. This includes managing A/P team members, managing the vendor setup process and maintenance, ensuring the accurate and timely processing of invoices and payments, and maintaining compliance with company policies and procedures. The AP Manager plays a critical role in ensuring that our company maintains positive relationships with vendors and suppliers while managing cash flow efficiently.
Key Responsibilities:
- Oversee the accurate and timely processing of accounts payable transactions, including invoice coding, and approval.
- Ensure proper documentation for all invoices and payments to comply with company policies and accounting standards.
- Manage vendor payments, including both manual and electronic payments, while ensuring all payment deadlines are met.
- Maintain positive relationships with both vendors and sites, addressing inquiries and resolving issues related to payments, discrepancies, and billing.
- Ensure that all vendor statements are reconciled monthly, and any discrepancies are resolved quickly.
- Negotiate payment terms with vendors to maximize cash flow management.
- Ensure all invoices received for the month are properly coded and approved before the accounting period is closed.
- Provide the accounting team with accruals based on information obtained after accounts payable is closed for the previous month.
- Support external audits by providing required documentation and reports related to accounts payable.
- Ensure compliance with company policies, accounting standards, and relevant regulations, and develop best practices to safeguard the company’s assets.
- Prepare regular reports on accounts payable metrics, including outstanding payables, aging reports, and cash flow analysis.
- Provide guidance on complex issues related to invoice processing, vendor communication, and payment schedules
- Identify opportunities for increased process efficiency, propose changes, and lead implementation of approved changes
- Conduct performance reviews and provide feedback to enhance team performance
Skills Required/Software Knowledge:
- Bachelor’s degree in accounting, Finance, or related field.
- A minimum of 5 years’ experience in A/P or accounting, with at least 1-2 years in a management role.
- Knowledge of Sage Intacct, SAP Concur and Microsoft Office Suite (Excel, Word) preferred
