Senior Accounting Operations Manager

Our client, a leading medical device company specializing in innovative treatments for hypertension, is seeking a Senior Accounting Operations Manager to oversee the Accounts Payable (AP) and Payroll functions. This role offers an exciting opportunity to contribute to a rapidly growing company with ambitious revenue goals and significant growth plans in the coming years. The ideal candidate will have experience managing AP and payroll teams, implementing process improvements, and supporting a complex ERP system. This position is based in Palo Alto, requiring four days per week on-site, and offers opportunities for career growth with a path to Assistant Controller.

Responsibilities:

  • Accounts Payable & Payroll Management:

    • Lead day-to-day activities for full-cycle U.S. Accounts Payable processing.

    • Review bi-weekly payroll cycles and ensure headcount and compensation changes are accurately reflected and posted to the general ledger (GL).

    • Supervise AP and payroll departments, fostering team development and skill-building.

    • Administer the Concur employee expense reimbursement system.

    • Review and approve payroll accruals, benefits accruals, PTO accruals, and other employee expense-related journal entries.

  • Process Improvement & System Implementation:

    • Complete the implementation of a redesigned procure-to-pay process, driving continuous improvements and addressing any post-deployment issues.

    • Serve as the primary point of contact for the company's P-card and T&E card provider and manage the company credit card programs.

    • Develop and document policies and procedures to promote consistency and scalability within the accounting department.

    • Collaborate with international teams to ensure consistency and share best practices.

    • Become an expert in the company's ERP system, maximizing its efficiency and capabilities.

  • Financial Reporting & Collaboration:

    • Respond to employee and vendor inquiries related to payments and expense reimbursements.

    • Review check runs, ACH payments, and wire transfers for third-party vendors.

    • Respond to audit requests and prepare necessary deliverables.

    • Work with internal stakeholders to clear bottlenecks in the procure-to-pay process and ensure timely execution.

    • Provide ad-hoc support to the broader accounting and finance teams as needed.

  • Long-term Strategy & Leadership:

    • Develop a roadmap for the AP and payroll functions, including technology improvements and resource requirements.

    • Lead process improvements and implement best practices to enhance operational efficiency.

    • Act as a service provider to the organization, ensuring all outgoing payments comply with company policies and accounting standards.

Requirements:

  • Bachelor’s degree in Business or Accounting required.

  • Proven experience overseeing AP and payroll functions in a fast-paced environment.

  • Ability to handle sensitive and confidential material with integrity and good judgment.

  • Exceptional multitasking and organizational skills.

  • Collaborative team player with excellent communication skills.

  • Highly detail-oriented with the ability to summarize information succinctly for upper management.

  • Experience using complex ERP systems, with QAD experience preferred.

  • ERP implementation experience is a plus.

  • Experience with ADP Workforce Now and/or Workday preferred.

  • Experience with Concur expense reimbursement and administration preferred.

  • Proficiency with MS Office applications.

Compensation:
Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law, Vaco believes that the following salary range reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure: $140K - $190K per year. The individual may also be eligible for discretionary bonuses.
