About the Opportunity

Problem Resolution
  • Act as the first point of contact for Portfolio Administrators and Portfolio Managers on complex issues:
  • Assist the client service team with transactions flagged as being “not in good order” to ensure timely and cost-effective resolution of all trade and transaction errors in Harmony, NBIN and transfer agent records
  • Act as a resource and subject matter expert to the administrator team on various service requests, such as:
  • Estate settlements
  • Basic tax reporting questions and client tax package collation
  • Marriage breakdown settlements
  • Registered products
  • FATCA and QI documentation and upstream reporting
  • Undertake complex account transactions review and reconciliation to ensure transaction records will be captured correctly in performance calculations and tax reporting
  • Support the administrative team with bulk onboarding projects for new Referral Partners.
  • CRM System and Data Review
  • Support the Client Service Team with data integrity review:
  • Perform monthly performance verification reviews and data lockdown in Harmony
  • Assist in resolving book value breaks in times of high volumes
  • Act as a key resource on Harmony system release testing and system enhancement projects, which will allow our firm to better leverage technology and straight-through processing efficiencies
  • Ongoing oversight of W8 renewals to ensure all clients/accounts are documented for US reporting purposes
  • Update Harmony transactions to correctly reflect taxable vs non-taxable transfers, charitable donations, etc.
  • Provide support with Salesforce system reconciliations as needed General
    Provide backup coverage for the Operations Manager
    • Assist with all reconciliation processes (position, book value, account and client data) in times of high volumes
    • Provide support and assistance on trade communication and settlement issues, handling new issues subscriptions, etc., for wealth management clients
    • Collate and submit reimbursement transactions to be processed at NBIN, per CFO/COO approvals
    About You
    • 7 to 10 years’ experience in progressively senior administration roles within the wealth management industry
    • Advanced knowledge of investment account recordkeeping – i.e. trading, transactions and the impact of all entries on client statement presentation and tax reporting
    • Successful completion of the Canadian Securities Course
    • High attention to detail, with ability to keep excellent notes for proper audit trails
    • Multitasker with exceptional organization skills, able to manage shifting priorities and competing deadlines
    • Team player who enjoys mentoring colleagues to lift the overall knowledge and expertise of the administrative team
    • Experience with Harmony portfolio management system and with NBIN custodian platform and systems a definite asset
    • Experience in both client service and back office operational roles an asset
    Pay Range:
    90,000 – 100,000
