

Payroll and HR Specialist POST NUMBER: 444438
Payroll:
- Independently manage end-to-end payroll processing on a weekly, bi-weekly, and semi-monthly basis, ensuring accuracy, timeliness, and compliance across multiple employee classifications and jurisdictions
- Audit payroll data prior to processing, including time and attendance records, bonuses, stipends, retroactive pay, and adjustments to ensure data integrity and adherence to company policies and labour laws
- Act as the primary liaison with our payroll service provider (ADP)
- Serve as the primary point of contact for payroll-related audits both internal and external. Prepare and deliver necessary documentation and reports
- Configure and maintain payroll systems (e.g., ADP Workforce Now and Team Pay), including pay codes, deduction settings, tax jurisdictions, general ledger mapping, and system upgrades or transitions
- File and reconcile payroll tax reports and remittances as necessary
- Partner with Finance and Accounting to ensure proper payroll journal entries, account reconciliations, and quarterly/year-end close activities are accurate and completed on time
- Research and resolve more complex payroll issues, such as, wage corrections, leave payouts, health benefit deductions, off-cycle payments, and compliance discrepancies
- Review, calculate, and process termination pay, ensuring compliance with applicable law regarding final paycheck timelines and accrued leave payouts
- Maintain, monitor, and improve internal controls and procedures related to payroll processes to ensure compliance and mitigate risk
- Stay informed and advise leadership of upcoming changes to payroll-related regulations or industry best practices; recommend and implement updates to policies and procedures as needed.
- Assist with employee onboarding and offboarding processes, including new hire meetings and documentation, benefit enrollment, and exit interviews
- Maintain accurate and compliant employee records, including updates to personal information, pay rates, and benefits selections
- Provide guidance and support to employees regarding benefits, payroll inquiries, and other HR-related matters
- Ensure compliance with HR-related laws
- Assist with employee performance reviews, training, and other HR functions as needed
- Prepare and submit government filings as necessary
- Generate and analyze payroll-related reports, including payroll previews, journal entries and compensation analysis
- Working with ADP, ensure compliance with all applicable laws and regulations, including those specific to payroll and HR
- Maintain confidentiality and safeguard sensitive employee information at all times
- Stay current on payroll best practices and HR trends to ensure efficient and compliant processes
- Work with our Head Office in the use and implementation of Success Factors for our local company
- Assist Finance and Management in forecasting and budgeting future costs and needs
- Provide general administrative support to the HR team as needed
- Assist with special HR projects, audits, and other tasks as assigned
About You
- Bachelor's degree in Human Resources, Business Administration, Finance, or a related field (preferred).
- Minimum of 3 years of experience in Canadian payroll processing and HR support, ideally within the insurance or financial services sector.
- Experience with payroll software (e.g., ADP, Paycor, Ceridian, etc.) and HRIS (e.g. SAP Success Factors) systems.
- Excellent Microsoft EXCEL skills
Salary Range
$75,000 - $85,000/year
