Salary: $60,000 - $65,000

We are seeking an experienced and detail-oriented Accounting Support Specialist to join our client’s team. This in-office role is responsible for supporting day-to-day accounting functions, including customer invoicing, purchase orders, reconciliations, data entry, and general administrative support for the finance team. The ideal candidate is proactive, analytical, and eager to streamline processes and contribute to overall operational efficiency.
- Prepare and issue customer invoices accurately and on schedule
- Review and process client billing invoices, ensuring correct coding and documentation
- Communicate with client billing departments and internal teams to resolve discrepancies
- Create and manage purchase orders in accordance with procurement guidelines
- Audit and process employee expense reports and credit card statements
- Assist with processing incoming payments and customer remittances
- Perform account reconciliations and support month-end close activities
- Review vendor statements and assist in resolving account discrepancies
- Support data entry, documentation, and filing for AP/AR functions
- Maintain organized financial records and assist with audit preparation
- Respond professionally to internal and external accounting-related inquiries
- Ensure compliance with company policies and internal accounting controls
- Provide general administrative support to the accounting and finance team
Education & Experience
- Minimum of 2 years of experience in accounting support, billing, or bookkeeping
- Experience with purchase orders, client invoicing, and expense reimbursements
- Familiarity with inventory accounting or vendor management is a plus
- Degree not required; hands-on experience and knowledge are prioritized
- Proficiency in accounting software (QuickBooks, NetSuite, Salesforce, or similar systems)
- Strong Excel skills, including spreadsheets, formulas, and data validation
- Understanding of accounting principles, general ledger functions, and financial reporting
- Excellent organizational and time management skills
- Strong verbal and written communication abilities
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Problem-solving mindset with a focus on process improvement
- Professional demeanor and ability to handle confidential information responsibly
- Self-motivated and able to work independently
- Takes initiative to identify and suggest improvements
- Detail-focused, analytical, and solution-driven
- Comfortable communicating across departments and with external clients
