Accounts Payable Clerk POST NUMBER: 474152
This is a part-time role (about 25/hours a week)- For example, 9-2pm or 10-3pm would work well. We can also accommodate someone who can work 3-4 days and longer hours.
Location: Jacksonville, FL
Compensation: $23-$25/hour
Main Duties and Responsibilities:
- Enter / Load invoices into the accounting system
- Process invoice approvals in accordance with company policies and approval workflows
- Prepare and process check runs, ACH/electronic payments and wire transfers
- Prepare and submit positive pay files
- Document and onboard new vendors
- Reconcile vendor statements to the vendor accounts in payables
- Communicate with vendors regarding payment discrepancies or resolve issues
- Maintain and count petty cash (occasional trips to the bank)
- File, sort and mail tax returns
- Provide support and back up to contracted driver and third-party carrier settlements
- Assist with month end close
- Assists the Company in any necessary duties to achieve Company goals.
- Performs other related duties as assigned.
Skills and Qualifications:
Core Skills
- Data entry and accuracy: fast, careful input of invoice data into the accounting system with minimal errors.
- Basic accounting knowledge: understanding of debits/credits, vendors, invoices, payments, and general ledger basics.
- Invoice processing: ability to review invoices for accuracy and code to the correct GL account.
- Vendor management: maintain vendor records, respond to basic vendor inquiries, and track outstanding invoices.
- Payment processing: familiarity with issuing payments (checks, ACH, wires) and understanding payment terms.
- Reconciliation basics: assist with reconciling AP sub-ledger to the GL and resolving discrepancies.
- Excel proficiency: basic to intermediate skills (data entry, sorting, filtering, simple formulas).
- Attention to detail: high level of accuracy in data entry and document handling.
- Time management: ability to prioritize tasks and meet deadlines, especially during month-end.
- Communication: clear written and verbal communication for internal inquiries and vendor questions.
- Organization: strong file management and record-keeping practices.
- Ability to learn company-specific systems quickly.
- Document management: ability to scan, index, and file invoices and support documents.
- Basic internal controls awareness: understanding of segregation of duties and common AP controls to prevent fraud.
- Problem-solving: ability to identify discrepancies and escalate appropriately.
- Customer service mindset: courteous and professional when interacting with vendors and internal teams.
- Adaptability: comfortable with changing processes and handling interruptions.
- Integrity and confidentiality: handling sensitive financial information responsibly.
- Education: High school diploma or equivalent required.
- Experience: 0–2 years in AP or related finance role.
Preferred
- Associate degree in accounting or related field preferred.
- Familiarity with accounting software: exposure to one or more AP modules (e.g., QuickBooks, NetSuite, SAP, Oracle, Dynamics).
