Position: Project Accountant

About the Role
  • A growing organization is seeking a Project Accountant to support project-level accounting, billing, and financial compliance. This role is responsible for monitoring project progress, preparing invoices, tracking receivables, and ensuring accurate documentation throughout the life cycle of active projects.
  • The Project Accountant works closely with project managers, subcontractors, customers, and internal accounting teams to ensure timely billing, collections, and financial accuracy. This role is well-suited for someone detail-oriented who enjoys coordinating across teams and maintaining ownership of project files from setup through closeout.
Key Responsibilities
  • Prepare monthly customer invoice packages for all billable projects, including required supporting documentation
  • Ensure billings, sales tax reports, lien waivers, releases of claims, and other required project documentation are accurate and submitted on time
  • Understand and follow compliance requirements for assigned projects
  • Issue large purchase orders by entering data into the accounting system and routing for execution
  • Prepare and issue subcontract agreements, routing contracts for proper execution
  • Audit subcontractor billings against contract terms and research discrepancies
  • Enter subcontractor invoices for processing and approval and follow up on missing or incomplete documentation
  • Prepare and track general contractor change orders, ensuring proper documentation, coding, submission, and record retention
  • Serve as a point of contact for employees, vendors, and customers regarding billing, subcontracts, and change orders
  • Build and maintain working relationships with project accountants and project managers
  • Track outstanding receivables and perform collection outreach as needed
  • Coordinate with cash receipts team members to resolve application variances
  • Maintain organized billing files for all projects, including invoices, waivers, and related backup
  • Provide administrative support such as preparing correspondence, reports, and forms
  • Support special projects as assigned
  • Provide periodic coverage for administrative or front-desk duties as needed
  • Promote teamwork and collaborate effectively with coworkers
Qualifications
  • Bachelor’s degree from an accredited four-year institution or equivalent combination of education and experience
  • One to two years of accounting or project-related experience preferred
  • Strong understanding of basic accounting and billing processes
  • Ability to analyze data, research discrepancies, and resolve issues independently
  • Strong written and verbal communication skills
  • Proficiency with accounting systems and Microsoft Excel and Word
  • Ability to manage multiple priorities and meet deadlines
