Essential Functions:
- Keeps the books for the mission including accounts payable, accounts receivable, and general ledger transactions.
- Responsible for the preparation and processing of biweekly payroll; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions.
- Operate computers programmed with accounting software to record, store, and analyze financial information in accounting journals and ledgers.
- Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
- Reconcile monthly bank, credit card, and investment statements.
- Process all accounts payable transactions including bills and credit card charges, ensuring accuracy of each bill and proper classification.
- Work with Comptroller to produce financial statements and narrative.
- Posting and classification of the daily accounts receivable transactions, preparing deposit slips when needed.
- Debit, credit, and total accounts on computer spreadsheets and databases, using specialized accounting software.
- Provide training and guidance to junior staff members on accounting principles, practices, and procedures.
- Coordinate with auditors during annual audits and other financial reviews.
- Provide requested documentation, explanations, and support to facilitate the audit process and ensure timely completion.
- Manage workflow to ensure all payroll transactions are processed accurately and timely.
Reconcile payroll prior to transmission and validate confirmed reports.
Responsible for the coordination efforts between payroll, human resources, budget, and other departments to ensure proper flow and maintenance of employee data.
Handle the administration of the electronic timekeeping system, monitor
submissions of approved timesheets, ensure valid data transfers to/from payroll
service.
Create and maintain employee schedule templates in support of the Ministry.
Train employees and supervisors in the use of the Ministry’s HR & Payroll
- Associates degree or above in accounting or business is preferred.
- Experience with QuickBooks and Excel required.
- Minimum of two years accounting or bookkeeping experience including accounts payable, accounts receivable, payroll, general ledger and financial reports required.
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- Knowledge of mathematics, algebra, statistics, and their applications. Using mathematics to solve problems.
- Using logic and reasoning to identify the strengths and weaknesses of alternate solutions, conclusions or approaches to problems.
- Proficiency in Microsoft Windows, MS Office, and MS Outlook; Expert level Microsoft Excel skills.
