Position Overview:
As a Payroll Specialist, you will be a key member of our team, ensuring that all payroll operations are handled efficiently, accurately, and in compliance with federal, state, and local regulations. You will manage payroll processing, maintain accurate employee records, and provide exceptional service to our staff. Your keen attention to detail, organizational skills, and experience with payroll systems will be essential to the success of our organization and its employees.
Key Responsibilities:
- Process and administer payroll for all employees, ensuring accurate and timely payments.
- Maintain and update employee payroll records, including tax withholding, benefits deductions, and direct deposit information.
- Review and prepare bi-weekly/monthly payroll reports to ensure accuracy and compliance with nonprofit and community service regulations.
- Ensure compliance with federal, state, and local payroll laws, including timely reporting and remittance of taxes.
- Collaborate with HR and benefits teams to reflect employee benefits, time-off accruals, and deductions in payroll.
- Respond to employee payroll inquiries and provide excellent customer service regarding taxes, deductions, and benefits.
- Prepare and process year-end payroll reports and tax forms (e.g., W-2s, 1099s).
- Assist with financial audits and work closely with accounting and finance teams as needed.
- Maintain payroll records and documents in compliance with legal retention requirements.
- Ensure payroll data is processed in accordance with organizational policies and applicable regulations for community service organizations.
Qualifications:
- 2 years of experience in payroll processing, preferably in a nonprofit or community services environment.
- Experience with Paylocity payroll software is preferred.
- Knowledge of payroll software (e.g., ADP, Paychex, QuickBooks Payroll) and HRIS systems.
- Strong understanding of federal, state, and local payroll laws and tax regulations.
- High level of accuracy and attention to detail, with the ability to manage sensitive employee data.
- Excellent communication skills with the ability to interact effectively with employees at all levels.
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Excel and other payroll-related software tools.
- Bachelor’s degree in Accounting, Finance, or a related field (preferred but not required).
