Position Overview:
Vaco is seeking a detail-oriented Accounts Receivable Specialist to join our clients team and provide critical financial support to a real estate client. This role focuses on managing tenant accounts, ensuring timely rent collection, and maintaining accurate financial records. The ideal candidate will have experience in collections, financial operations, and strong organizational skills to support property management teams effectively.
Primary Responsibilities:
- Tenant Account Management:
- Handle incoming tenant inquiries and requests via phone and email.
- Monitor and ensure timely rent collection, following company policies for non-payment.
- Update accounts receivable comments and maintain accurate tenant records.
- Sales and Cash Tracking:
- Collect, review, input, and calculate monthly and annual tenant sales data.
- Prepare, analyze, and post daily tenant cash receipts in a timely manner.
- Perform daily cash reconciliations.
- Billing and Adjustments:
- Run, review, and post monthly tenant rent billings.
- Review and process late fees and adjustments, including billing corrections and write-offs.
- Prepare and send statements for annual CAM (Common Area Maintenance) reconciliations and estimates upon request.
- Refunds and Reconciliations:
- Manage tenant refunds, stale-dated checks, and security deposit refunds or forfeitures.
- Prepare tenant account reconciliations as needed.
- Invoicing:
- Compile proper documentation and send monthly bill-back invoices.
- Administrative Support:
- Provide accounting support to property management teams.
- Participate in periodic meetings with property managers and assist with ad-hoc reports or projects.
Essential Job Functions:
- Work collaboratively in a team environment while maintaining the ability to independently manage tasks.
- Utilize Microsoft Office products (Word, Excel) and real estate-specific applications (e.g., MRI software).
- Build and maintain positive relationships with tenants and property operations teams.
- Demonstrate flexibility and adaptability in a dynamic work environment.
Minimum Qualifications – Education & Experience:
- Minimum of one year of experience in accounts receivable, collections, or a related financial role.
- Strong organizational skills and keen attention to detail.
- Self-starter with the ability to work independently.
- Excellent verbal and written communication skills.
- Proven ability to provide professional customer service and resolve account issues.
- Preferred: Degree in Accounting, Finance, or a related field.
