Job Title: Real Estate Operations & Executive Assistant
Located in Worthington, Columbus
Pay $30-32/hr 

Job Overview:
Seeking a versatile and detail-oriented professional to fill the role of Real Estate Operations & Executive Assistant. This position encompasses responsibilities in property management, investor relations, leasing, tenant interactions, and executive support. The ideal candidate will possess a strong foundation in real estate operations, financial reconciliation, and property management, with excellent organizational abilities and a proactive approach to tasks.

Primary Responsibilities:

Property Management:

  • Reconcile accounts and assist in developing comprehensive annual budgets.
  • Manage payment processing and tracking to ensure accuracy and timeliness.
  • Coordinate lease renewals, ensuring all documentation is complete and current.
  • Address tenant concerns and collaborate with property managers to resolve issues.
  • Monitor property metrics such as occupancy rates, lease expirations, and NOI.

Leasing & Tenant Relations:

  • Support leasing efforts by drafting and reviewing lease agreements.
  • Foster positive relationships with tenants through proactive communication.
  • Organize tenant communications, including lease renewals and updates.
  • Arrange property tours and liaise with leasing agents or brokers.
  • Ensure prompt responses to tenant inquiries for high satisfaction levels.

Executive Support:

  • Manage schedules, communications, and priorities for leadership.
  • Coordinate meetings, travel arrangements, and itineraries.
  • Maintain and organize shared digital files for accessibility.
  • Oversee email and calendar management, flagging key communications.
  • Prepare reports, presentations, and materials for meetings or updates.

Investor Relations:

  • Organize and schedule investor meetings, both in-person and virtual.
  • Assist with the preparation and distribution of quarterly updates and distributions.
  • Maintain detailed records of investor communications and commitments.
  • Track deadlines for agreements, funding, and compliance.
  • Help create investor presentations and newsletters.

Acquisitions & Dispositions:

  • Draft and submit property offers while managing transaction schedules.
  • Conduct preliminary analysis of investment opportunities.
  • Coordinate with brokers, legal teams, and other stakeholders during transactions.
  • Research market data to support investment evaluations.
  • Assist in due diligence, including inspections, appraisals, and reviews.

Operations & Special Projects:

  • Facilitate the onboarding process for newly acquired properties.
  • Manage vendor relationships to ensure service quality.
  • Coordinate maintenance schedules, repairs, and inspections.
  • Support compliance with relevant regulations.
  • Handle special projects such as process enhancements or event planning.

Qualifications:

  • Exceptional organizational and multitasking skills.
  • Familiarity with property management systems and financial reconciliation.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and cloud-based storage platforms.
  • Experience in real estate or property management is a plus.
  • Self-motivated, proactive, and effective in both independent and team settings.
