Vaco is hiring an Inventory & Asset Manager for a leading childcare organization in Columbia, SC. This role ensures that all buildings, assets, vehicles, and inventory are well-maintained and meet safety and performance standards to support high-quality childcare services.
Key Responsibilities:
Property Management:
- Work with maintenance workers to ensure all childcare facilities comply with Childcare Performance Standards and state regulations
- Ensure the physical environment of all centers (Head Start and Early Head Start) is safe, clean, and conducive to learning
- Coordinate building repairs, renovations, and preventive maintenance schedules
- Maintain records of building safety inspections, repairs, and modifications
Assets and Inventory Management:
- Develop and implement an asset management plan for all properties, equipment, and materials
- Maintain an up-to-date inventory of all fixed and movable assets, including furniture, educational materials, and office equipment
- Ensure proper tagging, tracking, and auditing of assets to prevent loss or misplacement
- Coordinate procurement of supplies and materials while managing budgets efficiently
- Work with the finance department to ensure accurate asset records and financial accountability
Vehicle Maintenance & Inventory Control:
- Oversee the maintenance and management of the organization's vehicles, ensuring they are safe and compliant with local transportation regulations
- Develop a preventive maintenance schedule for all vehicles used for site visits, including Head Start locations
- Manage vehicle inventory records, including titles, insurance, registrations, and service logs
- Track fuel consumption, mileage, and maintenance costs for all vehicles
- Ensure vehicles are equipped with appropriate emergency and safety tools and that drivers follow all safety protocols
Compliance & Safety:
- Ensure properties and assets comply with Childcare Performance Standards and local health and safety regulations
- Conduct regular facility inspections and implement corrective actions as needed
- Maintain playgrounds, outdoor spaces, and other recreational areas used in childcare programs
- Work with relevant departments to ensure fire, electrical, and general building safety inspections are completed and compliant
Vendor & Contractor Management:
- Manage relationships with vendors, contractors, and service providers for facility and vehicle maintenance
- Solicit quotes, negotiate contracts, and oversee the quality of work performed
- Ensure that vendors are familiar with CPS requirements and comply accordingly
Reporting & Record-Keeping:
- Maintain accurate records of all property and vehicle maintenance, repairs, and inventory changes
- Provide regular reports to leadership on the status of properties, assets, vehicles, and upcoming maintenance and budgetary needs
- Prepare documentation for audits and reviews, ensuring all records comply with internal policies and external standards
Qualifications:
- Experience with vehicle maintenance required
- Strong understanding of asset and inventory management principles
- Excellent organizational and communication skills
- Ability to manage multiple tasks and meet deadlines
- Proficiency in Microsoft Office and inventory management systems
Salary: $50,000–$55,000
Determining compensation for this role (and others) at Vaco depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco notes the salary range for the role as follows: $50,000–$55,000. The individual may also be eligible for discretionary bonuses and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
